Launch package · Group practice

Build a group where every clinician can bill from day one.

A group is a business with employees, contracts and supervision, not just several solo practices under one roof. We set up the group's NPI and contracts, credential your clinicians and link each one to the group, and put the hiring papers, supervision plan and payroll choices in place.

Flat fee in three parts, the last when your first contract is effective.

Government, licensing and accreditation fees are paid by you, directly to the agency.

Who it's for

  • A solo clinician hiring the first employees or contractors, who needs the practice to bill under the group instead of under their own name.
  • Two or more clinicians opening together, therapists, prescribers or both.
  • A group adding associates or interns who need a supervision plan that a board, a plan and a surveyor can follow.

Everything included

  • Everything in Solo Practice Launch: Complete, for the group
  • Group NPI and group contracts, each clinician linked to the group
  • 2 clinicians credentialed with 5 plans each (more clinicians priced per clinician)
  • Employee handbook, job descriptions, offer letters and contractor agreements (for your attorney to review)
  • Supervision plan for associates and interns
  • Payroll and workers' comp choices explained
  • Cima EHR Group set up
  • 90 days of support after opening

The hiring papers are drafts for your attorney to review before anyone signs: an employee handbook, job descriptions that list the license each role needs, offer letters and contractor agreements. Whether a role is an employee or a contractor is a question for your CPA; we lay out the choices.

Why linking matters

With most plans, a group has its own contract and each clinician is credentialed and then linked to the group's tax ID and NPI. Claims pay the group only when that link is in place, and a missing link is a common reason a new clinician's claims deny. We track each clinician against each plan, from application to linked and effective, and follow up every two weeks.

If you need more

  • More insurance plans: 5 plans per clinician are included; each extra plan is $175.
  • More clinicians: 2 are included; each extra clinician is $750, credentialed with 5 plans.
  • Keeping credentials current after opening: $49 per clinician a month (CAQH re-attestation, renewals, recredentialing and revalidation).
  • Started with a launch roadmap session? Its $395 is credited in full toward this package if you sign within 30 days.

For example, a group opening with four clinicians, each with five plans, is the package plus two more clinicians: $9,000 in all.

Typical timeline

On our Texas group roadmap, the group opens in about 17 weeks, with hiring, background and exclusion checks, credential files and staff orientation done before the first client. Each clinician sees a plan's members from that plan's effective date.

  • Payroll costs: a payroll service, Texas unemployment tax through a Texas Workforce Commission account, and workers' compensation if you choose to carry it.
  • Insurance: malpractice for the group and every clinician, general liability and cyber.
  • Background checks, your attorney and CPA, rent, and Cima EHR after the included months.

What's not included

  • Recruiting. We write the job descriptions and offer letters; you find and hire the people.
  • Running payroll or filing payroll taxes. We set up the choices; your payroll service files.
  • Clinical supervision itself. We write the plan; a board-approved supervisor provides and documents it.
  • Legal or tax advice on the handbook, contracts or worker classification, and any guarantee that a plan accepts the group.

Questions

Do I need workers' compensation in Texas?

It's optional for most Texas private employers. If you don't carry it, you're a "non-subscriber" and must notify the Division of Workers' Compensation and your employees (Texas Department of Insurance). Ask your insurance agent which fits.

Can associates and interns see insured clients?

They practice under a board-approved supervisor and generally can't bill on their own; how a plan treats their services varies by plan and license, so check each plan's rules before you schedule them with its members. The supervision plan in this package covers who supervises whom and how it's documented.

How long until a new hire can see a plan's members?

Usually 60 to 120 days: an NPI, a CAQH profile, each plan's application and the link to the group. Start the day they accept your offer, and don't bill a plan for them before their effective date.

What does each extra clinician cost?

$7,500 covers two clinicians with five plans each. Each additional clinician is $750, credentialed with five plans.

Will you keep the group's credentials current?

If you'd like: credentialing upkeep is $49 per clinician a month, covering CAQH re-attestation, renewals, recredentialing and roster changes to every plan.
